January 5, 2021: Indian Railways requires large quantity of materials for maintenance and operation of its assets which are procured through its Stores Department and distributed to the end users in its Depots. Receiving, distributing, record keeping and analyzing this large quantity of materials are a herculean task. To make this task more convenient, simpler and paperless; Northeast Frontier Railway has started implementing User Depot Module (UDM), a digital system developed by Centre for Railway Information Systems (CRIS) to ensure digitization of the complete supply chain. Implementation of this system will bring in transformational changes from manual working to digital working with real-time transactions and online information exchange among all stakeholders. UDM system computerizes various material management activities right up to the level of User Depots.



The main advantages of the UDM are:



• Complete chain of events starting from material getting issued from stores depot or received from any outside firm, till it gets used and it goes back to Store Depots as a scrap can be tracked; resulting in digitization of complete material life cycle.



• It lets creation of Computerized Ledgers & DMTRs (Daily Material Transaction Reports) for recording receipt & issue transactions by authorized Users resulting in large number of papers saving, thus saving environment.



• Stock Verification & Stock Sheet Management can be done on UDM.



• Several Exception Reports can be accessed in UDM which helps in analyzing and making informed decisions rather than approximate decisions.



• Annual requirement of material can be easily reviewed after analyzing consumption trends resulting in huge savings by optimization of stock of materials maintained at the Depots.



• Demand on other user depots, stores depots which are using UDM can be known and materials can be diverted to such Depots if required.



• Receipt, acceptance, advice note, gate pass, covering note etc. can all be generated online thereby reducing use of papers.



Guwahati Coaching Depot has become the first unit across all Depots in N.F. Railway to implement User Depot Module in a big way. All other Depots of NFR are also implementing this module in a bid towards complete digitization and paperless working for a greener environment.
